How do I manage Team Days requests?

When a corporate partner is interested in your Team Day, they can send an expression of interest through GoVo.

You’ll receive an email notification when a new request is submitted. You can also view and manage requests from your GoVo dashboard.

How do I view Team Day requests?

  1. Log in to your GoVo dashboard.
  2. Select Manage requests from the left-hand menu.
  3. Select Received.
  4. You’ll be taken to the Team day requests - Received page.
  5. Select the request you want to review.
  6. Review the full request details before deciding whether to accept or decline it.

The Received page shows requests from corporate partners who are interested in your Team Days.

You can use the filters at the top of the page to view requests by status:

  • All — all received Team Day requests.
  • Pending review — requests waiting for you to review.
  • In review — requests still being considered.
  • Accepted — requests you have accepted.
  • Declined — requests you have declined.
  • Withdrawn — requests that have been withdrawn.

The table will show useful information, including the corporate organisation, Team Day name, location, request status and when the request was last updated.

How do I accept or decline a request?

Once you’ve reviewed the request and are ready to respond:

  1. Go to Manage requests.
  2. Select Received.
  3. Open the relevant Team Day request.
  4. Select the Action button.
  5. Choose either Accepted or Declined.
  6. The corporate partner will be notified of your response.

Please aim to respond to Team Day requests within 5 working days where possible.

If you accept a request and your Team Day is no longer available to other corporate partners, please remember to unpublish the Team Day.

How do I cancel an accepted request?

If you need to cancel a Team Day request you have already accepted:

  1. Go to Manage requests.
  2. Select Received.
  3. Open the relevant request.
  4. Select Action.
  5. Select Decline.

The corporate partner will be notified that the request is no longer accepted.

You may also want to contact the corporate partner directly to explain the cancellation, if their contact details have been provided.

How do I view requests my organisation has sent?

If your organisation has requested to take part in a Team Day posted by another organisation, you can view this under Sent.

  1. Log in to your GoVo dashboard.
  2. Select Manage requests from the left-hand menu.
  3. Select Sent.
  4. You’ll be taken to the Team day requests - Sent page.
  5. Select a request to view more details.

You can use the filters at the top of the page to view sent requests by status:

  • All — all Team Day requests your organisation has sent.
  • New — newly submitted requests.
  • In review — requests being reviewed by the organisation you contacted.
  • Declined — requests that have not been accepted.
  • Accepted — requests that have been accepted.

What information will I receive when a corporate partner requests my Team Day?

When a corporate partner sends an expression of interest, you’ll receive an email notification from GoVo.

The email will include a short summary, such as:

  • The corporate partner’s organisation name
  • The Team Day they are interested in
  • The number of volunteers they would like to bring
  • Their preferred date or dates

You can view the full request in your dashboard. This may include:

  • Information about the corporate organisation
  • Why they are interested in your Team Day
  • Their preferred date
  • Their preferred location
  • Their preferred time commitment
  • The estimated number of volunteers
  • Any preferences or additional information they have shared
  • Whether they would like an introductory call
  • Contact details, where these have been provided

Please review the full request carefully before accepting or declining it.

What is the difference between Received and Sent?

Received requests are expressions of interest from corporate partners who want to take part in one of your Team Days.

This is where you should go to review, accept or decline requests for your charity’s Team Days.

Sent requests are requests your organisation has submitted to take part in a Team Day posted by another organisation.

You only need to use Sent if your own team wants to volunteer with another organisation.

What emails will I receive about Team Day requests?

GoVo will send email notifications at key points in the Team Day request process.

You may receive an email when:

  • A corporate partner submits a new expression of interest
  • A corporate partner updates their request
  • A corporate partner asks to have an introductory call
  • A corporate partner withdraws their request
  • A request has been marked as withdrawn
  • You accept or decline a request

Each email will include a button or link to view the full Team Day request in your GoVo dashboard.

What does “In review” or “Pending review” mean?

You may see requests marked as either In review or Pending review.

These statuses currently mean the same thing. They show that the request has not yet been accepted or declined.

We’ll be standardising this wording in a future update to avoid confusion.

What happens if a corporate partner updates their request?

If a corporate partner changes their Team Day request, you’ll receive an email letting you know the request has been updated.

To review the update:

  1. Open the email notification from GoVo.
  2. Select the link or button to view the Team Day request.
  3. Log in to your dashboard if prompted.
  4. Review the updated request details.
  5. Decide whether you are ready to accept or decline the request.

What if the corporate partner wants to speak to us?

As part of their request, the corporate partner may ask to have an introductory call with you.

If they request a conversation, you’ll receive an email notification from GoVo. You’ll also be able to view this information in the request details in your dashboard.

Where contact details have been provided, these will be included in the email and in the request details.

To arrange a conversation:

  1. Open the Team Day request.
  2. Review the introductory call information.
  3. Use the contact details provided to contact the corporate partner.
  4. Agree a suitable time to speak.
  5. Return to the request when you are ready to accept or decline it.

If you need to contact the corporate partner but have not received their contact details, please contact help@govo.org.

What happens if a corporate partner withdraws their request?

If a corporate partner withdraws their Team Day request, you’ll receive an email notification from GoVo.

No further action is needed.

Your Team Day will remain live and available for other corporate partners to discover, unless you choose to unpublish it.
